Coworking Management Software...Help!

Help, please! We have outgrown our current (cobbled together)
coworking space management system.

I am struggling to find new management software (room reservations,
member accts, merchant account processing, QB compatible). What is
working for you? Which software does your coworking space use? Has
anyone tried Cobot?

Your suggestions, advice and time will be greatly appreciated.

Yes, Nadine comes out of Office Nomads. We stopped promoting it because most people want a turn-key solution that is polished and ready to go and Cobot is by far a better choice for that. Nadine works for us but you still need a tech person and most spaces that have tech experts are rolling their own software. Cobot is nice out of the box and works great even for non technical people. There is also a full API for extending the functionality so if you wanted to add features it would be easy and those add-ons can all be open source and shared.

I got really excited about the idea of an open source project between spaces but found most folks just wanted a free solution and were not interested in contributing software muscle. I lost interest in overcoming this and stopped championing the project.

Hi fellow coworkers!

I have been reading a lot about coworking spaces management softwares
and there are not many options available.

Well, I would like to share with you that soon enough Pto de Contato,
the coworking space in São Paulo (Brazil), will contribute to this
community.

We are developing a software to help handle the coworkers, plans,
conference rooms, billing, database and many of the day-to-day aspects
of running a coworking space.

The software is almost ready and we are in the process of testing and
as soon as it is fully functional we will translate it into English.

If anyone is interested in knowing the software, please get in touch
and we can exchange some ideas. We can provide you a testing password
so you can take a tour and check the features. The only problem is
that so far it is in Portuguese.

Stay tuned for the updates we will be posting here.

I’m looking for some software that doesn’t take a programmer to implement. I do really well with Office (LOL), but beyond that… My center is more for entrepreneurs – not the computer type – we work with health and wellness programs, one of our member sells business books, another is a massage therapist, etc. I need a program that doesn’t require a computer guru. Suggestions?

We use http://chargify.com at The Skiff to process around 70
transactions a month. We've been using it for the last 6 months and
are very happy to be free of PayPal's constraints.

http://recurly.com, or http://spreedly.com might be a better fit for others.

We're still looking for a good solution on the meeting rooms front.
We've tried some services like http://bookingbug.com but they all seem
to massively overcomplicate things. At the moment we use a combination
of http://wufoo.com forms and Google Calendar but it's dependent on a
few manual steps.

We are using Cobot at Mutinerie in Paris and we are pretty happy with it.

You could try Nexudus Spaces (http://coworking.nexudus.com) too. Loads of input from the spaces using it and we are always happy to take new ideas on board.

We got frustrated ourselves and didn’t want to deal with lumped in directories.

We created our own API system to handle booking, mail service, phone service and members.

We wanted our own brand, not go offsite to some one else’s site. Talked to a few people in coworking spaces in BC (where we are at) and so we built it - we’re sharing with only limited folks due to the amount of activities that each space generates per hour.

Drop me a note Chana, we’ll see what your volume is before I can share.

Figured I’d chime in here as well. My name is Matt, and I’m one of the cofounders of Dovetail - a new member management and community engagement application we’re building specifically for coworking space managers. Dovetail is intended to help coworking space managers spend less time with data and more time with people, because that’s what coworking is really all about - the people. So one of our app’s core functions will be the ability to integrate with a variety of accounting, billing / invoicing, CRM, email marketing and scheduling applications that space managers use every day. So you’ll input data once in Dovetail, and the changes get pushed to all of your other apps. We’re also going to build in analytics to measure stuff like peak usage times, member churn rate, monthly sales reports, and other useful metrics (because data helps you make informed decisions about the current state of things at your space), and in app social tools like chat channels, forums and direct messaging that can be used by your coworkers daily to stay connected to each other and build community.

There’s still LOTS of work to be done before we’re ready to launch version one of the app, but we’re really excited about the opportunity to service the global coworking community - as coworking is something that our team is passionate about. So right now, we’ve got a basic splash page up that gives some general descriptions of features and a screen shot (high fidelity mockup at this point) of one of the app screens. You can check it out at http://dovetail.io. We’re going to be adding a blog and more in-depth explanations of features in the next couple of weeks. In terms of actual product development, we’ve worked through the interface design and solidified the feature set of our MVP. We’ve got high fidelity mockups of most of the core feature set done, and we’ve been coding the application for the past 2 weeks.

We hope to be ready for beta testing by the end of August or first week of September. And we’d love to get as much feedback as possible during the beta test phase. After all, the whole idea is to make space management easier for you, so the more testers we get on board, the more feedback we can get, which will help us make informed decisions on where we need to improve the product before public release - and what the product roadmap looks like after.
