Any Feedback from People Who Use Nexudus Coworking Software?

Hello everyone,

We’re still in progress of seeking a platform which meets all our needs at once. However, it’s kind of hard to find a platform like that, because we would like to:

1. manage all the membership payment transactions (charge users, accepting new members(coworkers), canceling memberships etc.)

2. track their check-ins to our space (we don’t want to check them in manually, we already have a HID card reader system that allows people to check-in at the front desk, however this card reader application is integrated with Cobot and if we use another platform instead of Cobot, we are not sure that we will be able to use our current HID system with the new platform)

3. We would like to see our members can interact each other on a single platform by posting events, chatting each other, posting something that they find interesting, or even posting job ads etc.

4. manage our printer system (may be by giving our members some credits in order to use the printers in our coworking space)

5. we want our coworkers(members) can easily book our meeting rooms as well as other resources like phone booths.

Besides all these, the user interface of the platform/software should be extremely simple. It shouldn’t be complicated, it needs to look really simple to people to encourage them to use it.

As I mentioned above, we’re still in progress of finding a platform like this. We came up with Nexudus, but I am not sure if it’s going to be helpful and meet our needs. If anyone who already uses Nexudus can give us a feedback, we would appreciate that. In addition, we also appreciate if you suggest us other softwares.

P.S.: We think Project Management softwares (Basecamp, Podio etc.) can’t help us since they’re quiet expensive and kind of complicated and not very user friendly. They have a lot of apps to allow you to customize it based on your needs, but these are not as simple as other softwares.

Hi there, thought I would reply to this as we use Nexudus Spaces. Bit of background first- we’re Coworking Bath and we opened Bath’s (as in Bath,UK) first coworking hub about 3 months ago. We are focused on the tech and creative industries, and we occupy 9 rooms across 4000 sq ft in a beautiful building which is full of history.

We looked around at several options for actually running the place- we already use Highrise for CRM, Podio for project management and Mailchimp to grow a list of interested people before we opened. First thoughts were to hack together other systems that we already used, for example we use the excellent Freeagent for invoicing/billing- and given that all the cloud based tools we use have APIs we thought we’d string them together and make it all work. We quickly realised that there was key stuff which we needed help with that none of these systems could usefully provide, most importantly membership billing. So we looked around, and talked to a load of providers (plus open source options) and we were almost going to go with another system when Nexudus suddenly popped into the equation. We had a demo and it quickly became clear that it was the right system for us, for a number of reasons some of which might be unique to us, but I will list the main reasons we went with it, then what we think now, and finally list some challenges with the system.

Why we went with it

  1. Nexudus as a company have a shopping cart background and this is evident from the system. Before we started we had no idea how much our members would want to change plans, add new stuff, use odd payment methods, want invoices in different names, the list goes on. Running our space from an admin point of view is 10x more complex than we thought, and Nexudus copes with it OK (there are issues but we’ll come to that). I don’t know how we would have coped if we’d gone with a system which didn’t have the finances etc at the core.

  2. The system has a built in website CMS, which means you can get a website up quickly, populated with data from the system (eg room descriptions, cost of hire etc). We have a public member database, members can book rooms and resources from the website, there’s a list of events, it’s pretty good. We’d have loved to have done this ourselves, and it might have been possible with Wordpress and a lot of time, but this was super convenient.

  3. Everything member facing is customisable, including all the emails which go out to members - this was the killer feature vs the other system we looked at. We made our emails really personable and all about our brand, and we think that’s helped our community grow faster.

What we found

  1. The system is great but it’s not something you can dive into and set up in an afternoon. There’s not a huge amount of written documentation above the basics. However, Adrian and team are super responsive, and this has been the single biggest reason we’re happy (see below). There’s always an answer on how to do something, even if it’s not built in as standard yet, and believe me, your members will want all kinds of weird deals. Want to restrict access to certain days? Or give members X hours in some plans, and also 25% off on room bookings, but not on lockers, and give a top line further 25% off for 2+ people in a team- you can do that- it takes some setting up, but it’s doable and there’s help from a real person every step of the way if you need it.

  2. Stuff is missing sometimes, but you don’t get shuffled into some kind of Get Satisfaction forum and talk about it for years- come up with an idea and if it’s sound you can be assured that it’ll be talked about and possibly even added really quickly. Some stuff that was really holding us back (eg one member paying the bill for a bunch other members who he works with) got suggested and added in quick time, and work great. Sometimes it feels like the system is in beta all the time, but we LOVE that feeling, there’s always cool stuff being added, or just plain useful features. It’s exciting, we feel like we’re helping to build an incredible product and our opinion is listened to on a daily basis.

  3. Once it is set up, it works great- and it’s hugely satisfying to see that without any input from us our members are reserving rooms and other resources (with their discounts being applied automatically), changing plans, updating their information etc etc

Challenges/Future thoughts

  1. We don’t really use the help desk and messages functions, they are clunky and they get in the way a bit. We’re hoping that there will be options to turn these off and hook into external services (ie mailchimp and zendesk or similar) instead. We’re eagerly awaiting being able to use the API through Zapier or similar which will help here.

  2. If you are in a country where some items get VAT added and some don’t (like the UK) then have a chat to Nexudus about it, it’s complex and I think it’s in the pipeline from them.

  3. This is the biggest one- the system doesn’t pro rata if someone wants to move plans. A member can choose their ‘next plan’ but you have to either wait until the next bill to trigger it, or push forward the invoice to trigger another one and change the billing date. We have a lot of members who join on a small plan and love us so much they want to upgrade pretty much straight away, which means we have to work it all out manually, and then the checkin hours don’t work. I’m told that pro rata changes are in the pipeline and this will be a huge step forward. Again this is one of the reasons we love Nexudus, it’s not there yet, but we know they will work like crazy to add it in once it’s taken on board.

Overall, Nexudus should be on your shortlist, and YMMV on your eventual choice, but I can’t stress enough the core functionality of Nexudus is what makes the difference for us, and to remain sustainable, reliable and consistent billing has to be at the core of our management system. We didn’t switch from Cobot, but we did at one point commit to it in principle, then decided fairly late on in our buying process that great though it was, there were a couple of niggles we couldn’t overcome. The main one was the lack of customisation on the member emails, which to us read more like an ad from Cobot than a friendly welcome to our community. They may have changed that by now, and on other stuff they were great, and demonstrated that they were as responsive as Nexudus on some stuff we wanted them to add, so they are def one for the shortlist.

Hi all,

This is an interesting topic, both Nexudus and Cobot have been out there helping coworking spaces for a while and at the moment we’re the two main choices.

Ender, I have sent you an email to see if we can talk later today; I’d like to hear where we’re not fulfilling expectations.

I’m specially interested in your points 3 and 4, social interaction and printing integration.

We have an app called coworkers that lets members add a short bio, a pic, and some links, and browse the list to see who else is at the space. We’ve looked into adding a discussion board there to let them interact directly through Cobot, but this is just an idea at the moment. As you know, we develop Cobot ourselves and we are open to developing additional features (we do it all the time and you can check our blog to see what the latest additions are). It helps to hear feedback from Cobot users to see what’s most wanted. Feel free to drop us an email at [email protected] at any time with suggestions to make Cobot better.

Regarding printing integration, we had conversations with Ezeep to integrate Cobot with their printing platform. They have a great app that lets you manage your printers on the cloud, however, at the moment they have no API yet that we can use to automate this project. If you’re interested, we could find an alternative solution.

Tom, good to hear from you. I’m happy that Nexudus is working for you. I also looked into it when oh-so-long-time-ago I got into this coworking thing, and I like what they do. Besides Carlos and Adrian are my fellow countrymen and I even have a Nexudus t-shirt! Competition is a weird thing in this coworking world :). It was a pity that things didn’t work out with Cobot after such a long time and it’s a pity that such a tiny detail, like an email copy that’s easy to change, made you leave your plans of using Cobot. As you know, at that point we were open to discuss how a member email should look like. I’d still like to hear your feedback about that if you can jump on the phone any time soon. If ‘it sounds like advertising Cobot’ is the current feedback, we definitely need to look into it.

Sharing our contact details with members of spaces using Cobot, however, has proved to be useful sometimes. We receive calls every week from people that’s having trouble booking a room from home or understanding their invoices, or even finding the address of the space. We take care of those when they’re technical queries, or Google the address of the space to tell them which is the closest metro station :).

This said, Cobot is great but not perfect. We actively ask for feedback and always take it into consideration. We manage our space and use what we learn there to improve Cobot, but all coworking spaces are different in some way and it’s hard to know all your special needs. I agree with a lot of what Tom has said. The
company that I work for mainly does offers desk and conference room rentals. We
had looked at Cobot, but decided to go with Nexudus because it allows you to
customize your website, emails, etc. For most of the “issues” we’ve
had, we’ve been able to figure a way around it, but it is usually something
that Nexudus is already working on. They are continually making improvements
and adding new features. And to add to what Tom said, I agree that Adrian has
been incredibly helpful with any and every question that that has come up and a
big deciding factor on why we decided to go with Nexudus.

Is there a list somewhere of coworking spaces that use Nexudus? We’re using it for basics like billing and room booking but planning to do more as time goes on. We have a small staff and can’t exactly shut down and build it all at once. Would love to get ideas from others who are using it, especially any folks who are doing more than just the basics like we are.

A few questions: Do you find it easy to learn and use - is it user friendly? Also, how responsive is customer service, especially since they are based abroad, I believe.

It isn’t exactly your question - but I am with Cobot (the other main coworking software).
We put our main emphasis on a streamlined experience that can’t go wrong (we are known for the stability of our platform) and we are available until 1-2PM PST for our US spaces.

But we also know Adrian at Nexudus well - you can’t go wrong with them either!

We use Nexudus software and find it excellent! It can definitely do just about all of what you’re detailed here. The only one I’m not sure about is the door entry integration. I know it can interact with a system called Doorguard but as you already have something in place, you’d need to speak to Adrian at Nexudus about that.

Tom Lewis gave a very helpful and detailed account of the software and yes there are a few limitations to work around like not be able to use pro-rating when changing or ending a price plan but I am sure that this will be available at some point as the software is constantly improving. It hasn’t proved too big an issue for us.

To be honest, I think choosing Nexudus is one of the best decisions for the business we could have made. We use it for connecting members via the directory, calendar events and community board, invoices and direct debits (it connects to GoCardless), managing and booking resources, sending messages, and managing printing use and billing (via another fantastic piece of software called Ezeep)

Also Adrian is one of the nicest and easiest people to deal with. There hasn’t yet been a time where when I have a question about how to do something he hasn’t been able to answer and even if I haven’t worked it out myself yet there is almost always a way that Nexudus can do it! Having great support makes all the difference.

I agree with Tom that it takes a little learning (doesn’t everything) but can’t imagine not having Nexudus now to run my business!

Invoicing, members directory, room bookings, blogs and more. I’ve completed market research prior to starting CO-HAB and couldn’t find a solution as good as Nexudus. It took a while to get set up but the guys at Nexudus are more than willing to help.

It’s a great platform! I can spend ages and write something similar to what Tom wrote but he sums it up very well.

What I like most is the constant evolution of Nexudus and the fast response of the support team. I trust that Nexudus will evolve with my business. At Brasil, we still need to build some interfaces with Banks and to our local taxes systems.

As an update my thoughts back in 2013, we still use Nexudus and love it most of the time (it’s like a brother who you love deep but still annoys you from time to time). I think it does pro rata upgrades and downgrades now (at least they were about to launch it a while back) . We also use their PC checkin app (we bought a stick PC, plus a tiny LCD screen and a card swipe pa, and miraculously it works- we’ve now got two for members to swipe in and out- see attached pic). They’ve launched a ton of stuff, some of which we use, some of which we don’t and some of which we said we wouldn’t and do (eg adding notes to room bookings)

They’ve recently upgraded their integration with Zapier and I can now do all the things I dreamed of (we have some cool email workflows triggered from trial day passes and stuff like a surveymonkey going out if someone cancels). I even have every check in (and more importantly every failed check in) come into my phone via Slack, and all failed ones go into a spreadsheet for my weekly management meeting so we can make sure we charge members who run out of time.

We’re currently looking at KISI as an upgrade so we can properly integrate Nexudus with our door entry system, but have reservations about the tech at KISI’s end (eg what happens when a member comes in at night and has a dead phone, how do they get in?)

What else? Reports are better than they were, sign up wokflow is better, cool document merge feature which we’ve not implemented yet. Proper integration with payment gateways, which we’ve not done yet either.

Main issue I have (and i’ll be shooting myself in the foot saying this). It’s amazing that one has a support hotline to Adrian via email, and he works as crazy hours as I do- but some kind of proper feature request/forum/discussion space would be good. I’m currently planning a coworking forum and hoping I get get Nexudus to sponsor a forum of their own so we can do it there, but Adrian doesn’t know that yet :wink:

I have been with Impact Hub Ottawa and using Nexudus for just over a year now and overall we are happy with it. We have a coworking space with 300+ members, meeting rooms for booking, and extra services (mail service, after-hours entry).

It’s great having everything in one place - hours tracking, room bookings, invoicing, and so on. It’s easy for the members to use and understand, and it’s hands-off for them (and us) to track their hours.

I will echo one of the previous comments that the system is not something that can be learned in a day. There are the basic functionalities which are fairly straightforward, but I am certain we’re not using the system and all its features to the best of its ability. We are always tweaking and changing things, looking for ways to improve our usage and get more out of it. Adrian is very helpful with this, I am regularly in touch with him trying to figure out a new process or get help with something that I can’t find. He is very quick and responsive on the support side.

I would say our biggest struggle is with the reporting. The membership numbers aren’t displayed in a way that we find convenient and usable. The finance information is fine, but when we want information re: upgrades, downgrades, hours used in the month, checkins per day/hr etc. it’s much more effort to break that all down. We are regularly struggling to find one report that suits our needs instead of having to combine several (which is time consuming for weekly updates). They do some tweaks every now and again and add more reports, but that can be a little overwhelming because there are a lot to choose from and some of them don’t seem to make much sense. Maybe it’s the way our information is inputted so it’s not pulling properly, however, it’s still been an ongoing struggle with that.

That is our only qualm though!

We have been using Nexudus at NextSpace for almost a year now. It has been a great software for us. Adrian and his team have been very supportive with all of our requests and questions, which is perhaps the best part. The system can be difficult to learn because of how complex everything is, and we are actively working on putting together some training modules and assessments for our staff and new hires. But once learned, it’s a very powerful tool. I will echo what others have said that I know there are a lot of features that we’re not using and should be. It would definitely be nice to have a place where all new features are laid out and a forum where users can talk about specific features and questions. Perhaps this is already out there…if someone knows of one, please let me know!

The two biggest benefits to Nexudus are: 1) They have been around a long time and this has given them years of knowledge and information. They have added so many unique features and capabilities that can only be learned (IMO) from years of listening and responding to customers’ needs. There are newer, sexier platforms out there, but I worry that they will lack the years of experience and testing that Nexudus brings to the table. 2) They are always willing to listen to and implement new feature requests, or let me know if the system already does what I’m looking for and how to utilize it. This is hugely important for us as we continue to grow and expand. I feel confident that as the market continues to change, and we continue to pivot and change with it, Nexudus is going to be able to support us. The system isn’t perfect (none of them are), but the support that we get, and our confidence that they can and will respond to needed changes is way more important than perfection.

Hello everyone,

We’re still in progress of seeking a platform which meets all our needs at once. However, it’s kind of hard to find a platform like that, because we would like to:

1. manage all the membership payment transactions (charge users, accepting new members(coworkers), canceling memberships etc.)

2. track their check-ins to our space (we don’t want to check them in manually, we already have a HID card reader system that allows people to check-in at the front desk, however this card reader application is integrated with Cobot and if we use another platform instead of Cobot, we are not sure that we will be able to use our current HID system with the new platform)

3. We would like to see our members can interact each other on a single platform by posting events, chatting each other, posting something that they find interesting, or even posting job ads etc.

4. manage our printer system (may be by giving our members some credits in order to use the printers in our coworking space)

5. we want our coworkers(members) can easily book our meeting rooms as well as other resources like phone booths.

Besides all these, the user interface of the platform/software should be extremely simple. It shouldn’t be complicated, it needs to look really simple to people to encourage them to use it.

As I mentioned above, we’re still in progress of finding a platform like this. We came up with Nexudus, but I am not sure if it’s going to be helpful and meet our needs. If anyone who already uses Nexudus can give us a feedback, we would appreciate that. In addition, we also appreciate if you suggest us other softwares.

P.S.: We think Project Management softwares (Basecamp, Podio etc.) can’t help us since they’re quiet expensive and kind of complicated and not very user friendly. They have a lot of apps to allow you to customize it based on your needs, but these are not as simple as other softwares.

Great discussion on Nexudus and the pros and cons of space management software in general! Hey Lisa sorry for the delay, but yes, as others have indicated, Adrian is awesome and the product is constantly improving. It is really comprehensive so you can do just about everything with it if you're willing and able to spend the time to customize it. I know some folks pay to have systems built or customized for them and I can say from experience if you DIY fitting it into free time scattered around the work day/week, that customization/adoption could take many months. We started with the have to haves (billing and room booking) and that's been a huge upgrade from what we were doing before. The "nice-to-haves" are getting done over time and honestly that's fine with me. Everytime we make a small improvement it makes us pretty happy. :slight_smile: and, we didn't shell out for the big contract (our vendor wasn't ready for us and we decided to go for it ourselves rather than seek out someone else). One piece of advice I got from Marnee at Works Progress I would urge you to adopt is to do this incrementally. Trying to do it all at once is too much for your members to handle and there will inevitably be some configurations that don't work exactly as intended so limit the variables as you build it our little by little is the way to go. Even if you don't have any members yet, I wouldn't try to do too much with it until you really get the hang of it. Good luck!
