How do you effectively track hourly members

How does your coworking space effectively track hourly members? Are members responsible for “clocking out?”

Hi Chris,

At our coworking space co.up we use Cobot, an app done by ourselves but available to all coworking spaces.

We link Cobot to the wireless so anyone coming in is automatically check in upon connecting to the internet. It lets us control hourly passes like this and let members buy more passes without leaving their computer if they need to work for some extra time.

We opted to not micro-manage this process and in 4 years I’ve only had to have a challenging conversation with one member who immediately fell back in to the parameters of his membership :slight_smile:

Hi Chris,
We have an RFID access system, so “Bucket of Hours” members scan in at an office door and scan out when they leave. This way, we can offer 24 hour hourly usage, even during non-staffed time. It ties into our management software, DeskWorks. We decided not to read who’s connected to the broadband service for 2 reasons: 1) we thought people might object to being monitored – although I think that’s getting to be less of a concern and 2) we have a lot of meetings and appointments here where people (believe it or not) aren’t online. Therapists, tutors, etc. use The Satellite, too.

We have an in-house developed system that tracks whenever a member’s device is in the space connected to the network. Super-easy for the members (we just register their devices once). Even if the member isn’t using their computer online (rare in our hub), their other device (phone, etc) is usually on the network when in the space. As long as one of their devices is online, we’re tracking their hours and they can seem their usage in real time. As with other available systems, it also kicks them off if they’ve expired (after multiple notices) or if they’ve gone significantly over hours (again, after notices).

Our system, Nadine, gathers network information as well but we don’t use it for billing. We specifically use a manual sign-in at the front desk for billing and we use the network info to send gentle reminders if someone has forgotten to sign in. We also don’t do hourly as we are all about getting people to be relaxed and present in the space, not rushing in and out. Since we only do the day, there is no need to sign out. This is the best way we’ve found to balance out a number of different factors and situations.
