Event and Meeting Policy Agreement

We are getting a lot of requests for small meetings and larger events from non-members. Does anyone have a contract/policy agreement that they can share? I’ve started one but am probably missing some key points.

I just finished creating a contract for private rental of our facility. In the process I learned 2 very important things:

  1. There are a TON of examples of such agreements available in an instant via google search.
  2. Not a single one of them will be exactly, or even closely, right for you and your venue.
    I spent a full day researching, comparing, customizing, revising and editing our contract. The examples I found helped with formatting and reminded me about certain issues I wouldn’t have thought of, but in the end I ended up pretty much writing it from scratch.
    I started the process with creating an outline of the sections I wanted to make sure I included:
  • Renter Details (name, address, e-mail, etc.)
  • Rental Details (date, time, # of people, etc.)
  • Fees & Payments
  • Cancellations
  • F&B
    . . . and so on and so forth. Then I expanded each section, line by line, until I was satisfied that I had everything I needed.
